Choose what fits your business

For academies, clubs, studios and hire venues

A swim school needs groups and lanes. A personal coach arranges sessions with clients. An academy plans a season, while a court owner takes venue bookings.

The workflow

How one registration is handled

Reception and the participant work with information about the same registration, from the initial offer to attending the class.

  1. Prepare your offer

Choose the class type, group and future dates.

  2. Accept a registration

Participants use a form, the family portal or reception.

  3. Confirm the place

Based on capacity, email confirmation and payment rules.

  4. Manage attendance

Review the roster, attendance, pass and payment.

Offers and seasons

A single session, a regular group or a full course

Offer different ways to take part. One person books a specific session, another joins a group for a period, and someone else chooses a series of classes.

  • Age, level, capacity and duration
  • Coach and venue requirements
  • Seasonal groups and copying future editions
  • Membership history and offer versions

Scheduling

A class schedule built around coaches and available spaces

Plan individual sessions and recurring classes. View the schedule by group, coach or venue, and prepare changes in a draft before publishing.

  • Recurring classes, exceptions and rescheduling
  • Conflict checks and the impact of changes
  • Schedule versions, history and printing

Schedule generator

Use the generator for a larger schedule

Select groups, coaches, venues and times. Set priorities and protect sessions that must stay in place. The generator prepares a proposal for you to review.

Compare the proposal with your current draft and inspect explanations for unplanned classes. Applying a proposal and publishing the schedule are separate actions.

Your coaching team

Coach availability and cover

Account for coaches’ available hours, preferences, blocks and absences. Assign lead coaches, assistants and cover for defined periods.

Class planning can use an existing work schedule or identify uncovered staffing demand. A coach stays linked to the employee in your team.

Space and availability

Book a whole pitch or just one part

One space can serve several groups if its layout allows it. Define the physical zones and configurations used for training and hire.

Shared areas

Whole venues and overlapping areas follow the same occupancy checks.

Hours and preparation

Set opening hours, hire windows and buffers between bookings.

Closures and layout changes

Check the impact on future classes and bookings before making a change.

Venue hire

Court, pitch and studio hire alongside club classes

Offer your venue at selected times and accept future bookings. Define available spaces, hire duration and required gaps.

Hire and training share the same occupancy checks. Several spaces can also be reserved in one operation.

Forms and reception

Online registration after reception closes

Share a form participants can complete at a convenient time. Add the questions you need and choose whether it accepts adults, children or both.

  • Up to 20 extra questions and a preview before publication
  • One registration for several participants
  • Waiting lists and offers for released places
  • Reception support, transfers and cancellations

Your club’s booking rules

Email confirmation, prepayment or payment at the club

Decide what confirms a booking. Rules can apply across the company or to one form, with different requirements for guests and signed-in customers.

Email confirmation

Require address confirmation within a time limit, separately for guests and signed-in customers.

Required prepayment

Set a payment deadline and available methods. Reception can record cash or a bank transfer received.

Payment later

Confirm a place with payment due later. You can also accept registrations with no charge.

Email confirmation and payment are separate conditions. Przelewy24 is optional.

Family portal

One family portal for siblings’ schedules

Parents can check children’s classes, registrations, shared documents and finances. A one-time sign-in link means there is no extra password to remember.

Several guardians can have permission for the same participant. Each sees information and available actions according to their access rights.

Participants and permissions

Participant, guardian and payer records

Keep contact details, participant information and relationship history. A child does not need their own email. A parent, another person or a company can be the payer.

  • CSV import with a preview and validation
  • Duplicate merging and archiving
  • Separate booking, document and finance permissions
  • Staff access to their own classes, assignments or company

Attendance and make-up classes

Absence notices and make-up places

Record attendance and review participation. Distinguish absence, an absence notice and an unmarked entry.

Define when a participant earns a make-up entitlement and how long it lasts. Choosing a session checks eligibility, capacity and waiting-list priority.

Organiser cancellations follow separate rules. Attendance changes and corrections remain in the history.

Passes and payments

Passes, course fees and venue hire payments

Set prices for a visit, a package, a course, a monthly pass or time-based venue hire. Manage discounts, deposits, additional payments and receivables.

  • Available, reserved and used visits
  • One payment across several children’s fees
  • Corrections, refunds and web / PDF receipts

Optional Przelewy24 payments use the club’s own account. Buying a pass does not itself reserve a place.

Class records

A journal, forms and documents linked to classes

Keep a class journal, manage records and assign forms to participants. Retain answer versions and change history.

Share documents and photos with families according to permissions. Record who actually coached and the actual times, with an optional link to an existing work session.

Email and SMS

Let participants know a session has moved

Changing a coach, moving a session or cancelling a class means reaching the right people. Prepare a message manually or use automatic rules.

Send class and payment reminders. Review SMS recipients and cost before sending, then inspect history and statuses. Financial messages go to authorised payers.

Reports and exports

Review attendance and venue use

See how spaces are used, how participants attend classes and where payments and receivables stand.

Compare planned and actual coaching time. Export CSV files, print reports and create PDFs according to permissions. Report access does not automatically grant financial access.

Before rollout

Questions before opening registration

Participant accounts, parent access, payment options and your initial setup.

Tell us about your club
Can someone register without creating an account?

Yes, if the club allows guest registration. A guest uses a public form and receives access to their own request. The club decides whether email confirmation and payment are required.

Does a child need their own email address?

No. A child has their own participant record, while an authorised guardian can handle contact and portal access.

Can a parent see all their children’s classes?

The family portal shows participants for whom the guardian currently has permission. One person can be linked to several children, and a child can have several guardians. Finance and document permissions are managed separately.

Are online payments required?

No. You can accept free registrations, record cash or bank transfers and allow payment later. Optional Przelewy24 payments use the club’s own merchant account. Enabling the provider does not make prepayment mandatory.

How does the waiting list work?

When a form allows waiting and no places are available, a request can join the queue. Staff can offer a released place to the next request. Acceptance rechecks the conditions and capacity.

Can someone hire only part of a venue?

Yes. A venue can be divided into physical zones with different configurations. Shared areas are checked so whole-venue and partial bookings follow the same occupancy rules.

How are make-up class rules defined?

A group can define absence notice deadlines and how long a make-up entitlement is valid. Booking checks the offer, age, level and available places. Organiser cancellations follow separate rules.

Does the module work with coaches’ work schedules?

Yes. Planning accounts for published staffing and absences, and can identify uncovered staffing demand. Actual coaching can be linked to an existing work session without automatically creating a second pay calculation.

Who can access documents and finances?

Access depends on staff permissions and the current guardian or payer relationship. Materials are shared explicitly. Attending classes or being a guardian does not automatically grant access to every document and financial record.

What is a good starting point for rollout?

During the demo we will discuss the scope for your club. You can start with one group or venue, agree booking rules and staff access, then enable the functions you need. Module scope and activation are agreed individually.
